Complete guide to managing your DeskTrust organization.

1Dashboard Overview

Your dashboard is the central hub for monitoring your team. The main page shows employee cards with real-time status (Online, Paused, Offline). Each card displays the employee's name, current application, and last screenshot thumbnail. Key metrics at the top show: Total employees, Online count, Paused count, and Offline count. Use the group filter to view specific teams.

2Employee Management

Navigate to Employees in the sidebar to manage your team. **Adding employees:** Click "Add Employee", enter name and email. An Agent Key is generated automatically - share this with the employee for agent setup. **Agent Key:** Each employee has a unique key. You can view, copy, or regenerate it from the employee list. If you regenerate a key, the employee must reconfigure their agent. **Setting passwords:** Click the password icon to set an employee portal password. This lets employees log into the portal to view their own data. **Removing employees:** Click delete to remove an employee. This also invalidates their agent key and removes their data.

3Live Screen Viewing

Click any online employee card or the "Live" button to see their screen in real-time. The live view shows: - Current screenshot (refreshes at your capture interval) - Active application name and window title - Session duration - Keyboard/mouse activity indicator You can view multiple employees by opening them in separate tabs.

4Screenshot Playback

Click "Playback" on any employee to review their work history. **Timeline view:** Select a date and see hourly breakdown of activity. Click any hour to view screenshots from that period. **Playback mode:** Auto-plays screenshots in sequence like a video. Adjust playback speed from 0.5x to 5x. **Activity transcripts:** Each screenshot includes an AI-generated description of what the employee was doing.

5Groups & Departments

Organize employees into groups and departments for easier management. **Groups:** Used for filtering in the dashboard. Default groups: General, Engineering, Marketing, Sales, Support. Create custom groups as needed. **Departments:** Organizational structure. Assign employees to departments for reporting purposes.

6Reports

Access Reports from the sidebar to view productivity analytics. **Activity breakdown:** See time spent in productive, neutral, and unproductive applications. **Work hours:** Track daily/weekly hours per employee. **Top applications:** See which apps your team uses most.

7Geofencing

Available on Growth and Enterprise plans. Set up virtual boundaries to track where employees connect from. **Creating a geofence:** Set a center point (address or coordinates) and radius. Assign employees to the fence. **Alerts:** Get notified when employees connect from outside their assigned geofence.

8Settings

Configure monitoring parameters in Settings: - **Capture interval:** How often screenshots are taken (3s to 60s) - **Screenshot quality:** JPEG quality (30-80%) - **Idle timeout:** Minutes before marking employee as idle - **Work hours:** Default working hours for auto-pause - **Data retention:** How long to keep screenshots (7-90 days) - **Auto-pause:** Pause monitoring when idle or screen locked - **Smart skip:** Skip capturing when screen hasn't changed **Change password:** Update your admin password in the Settings page. **Download agent:** Download the latest agent installer for your employees.

9Billing
