DeskTrust ("we," "our," or "us") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our employee monitoring platform and related services (the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following types of information:

2.1 Account Information

Name, email address, company name, billing information, and other details provided during registration.

2.2 Screenshots

Periodic screenshots captured from employee devices during active monitoring sessions. Screenshots are only captured when monitoring is active and employees are informed.

2.3 Application Usage Data

Information about applications and websites used during monitored work sessions, including window titles and time spent.

2.4 Activity Data

Keyboard and mouse activity levels (activity percentages only, not keystrokes), idle time detection, and work session timestamps.

3. How We Use Your Data

We use the collected data for the following purposes:

  • Productivity analysis and reporting for employers
  • Automated time tracking and work hour calculations
  • Generating productivity scores and analytics dashboards
  • Screen recording and playback functionality
  • Providing customer support and responding to inquiries
  • Improving and maintaining the Service
  • Processing billing and subscription management

4. Data Storage & Security

We take data security seriously and implement industry-standard measures to protect your information:

  • All data is encrypted in transit using TLS 1.2+ and at rest using AES-256 encryption
  • Screenshots and activity data are retained according to your plan settings (30, 60, or 90 days)
  • Data is automatically deleted after the retention period expires
  • We maintain regular security audits and vulnerability assessments
  • Access to production systems is restricted and logged

5. Employee Rights

Employees monitored through DeskTrust have the following rights:

  • Pause monitoring: Employees can pause monitoring at any time for personal activities
  • View own data: Employees can access their own productivity data and screenshots through the employee portal
  • Request deletion: Employees can request deletion of their personal data, subject to employer policies and legal requirements
  • Notification: Employees are notified when monitoring is active through the desktop agent

6. Third-Party Services

We use Stripe for payment processing. When you provide payment information, it is transmitted directly to Stripe and subject to their Privacy Policy. We do not store credit card numbers on our servers. We do not sell, rent, or share your personal data or monitoring data with any third parties for marketing or advertising purposes.

7. Cookies

We use essential cookies to maintain your session and authentication state. We may also use analytics cookies to understand how visitors interact with our website. You can control cookie preferences through your browser settings. The Service functions with only essential cookies enabled.

8. Children's Privacy

The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete such information promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. We encourage you to review this Privacy Policy periodically. Continued use of the Service after changes constitutes acceptance of the updated policy.

10. Employer Responsibilities & Employee Consent

Organizations deploying DeskTrust are responsible for:

  • Informing employees that monitoring software is installed on their work devices
  • Obtaining necessary consent as required by local labor laws
  • Configuring appropriate monitoring boundaries (work hours, privacy zones)
  • Providing employees access to their own activity data upon request
  • Complying with applicable data protection regulations (GDPR, CCPA, etc.)

DeskTrust provides tools to support compliance: configurable work hours, auto-pause outside hours, sensitive content blurring, and employee portal access.

11. GDPR & International Data Protection

For organizations subject to GDPR or similar regulations:

  • Data Processing Agreement (DPA) is available upon request
  • Data is processed on the legal basis of legitimate interest or employee consent
  • Employees have the right to access, rectify, and request deletion of their data
  • Data is stored on secure servers in the United States
  • Data breach notification will be provided within 72 hours of discovery

12. Data Retention & Deletion

Screenshot and activity data is retained according to your plan's retention period (7-90 days). After the retention period, data is automatically deleted. When an organization cancels their subscription, all employee data is deleted within 30 days. Account information is retained for 90 days for billing purposes. You may request immediate data deletion by contacting support@desktrust.com.
